i woe aati The Fund would come under the direction of the Parks and Recreation Committee and expenditures from the fund would require the approval of City Council. The Parks and Recreation department would specifically be responsible for: producing and maintaining an approved catalog or brochure which would identify project; — receiving applications for the making of donations; working with a donor on specific details surrounding standard or specialized gifts; liaise with Treasury department regarding the accounting procedures required to track donations and to maintain records of all donations; advertising and promoting the fund; reporting on the status of the fund to the P & R Committee; arranging for the issue of tax receipts for all gift donations; development of a recognition program | 2. Catalog or brochure A brochure and a catalog need te be developed which will outline the purpose of the fund and will give ideas on various gift types. Recognition for all donors shall include a letter of thanks from the Mayor and a City lapel pin. Other methods of recognition, for example the mounting of plaques on larger plaque type gifts, will be determined by the Parks and Recreation Committee. All gifts accepted under the program shall become the property of the City of Port _ Coquitlam and the City will maintain all gift items for a period if years.
