ITEM IIT - Continued It is possible to make a very significant reduction in the complexity of the record system by using an over-lay system over a few selected base Maps and by using a microfiche system for recording such things as underground hydro and gas records which are available free from the utility companies. A changeover to a more efficient System will take a number of years and will require redrawing of a number of plans. Since it is necessary to make these changes anyway, this would be a good time to make the changeover to a metric record system, As a first step it is considered desirable to estab- lish proper ground control and to refly the aerial phetography in order to allow us to prepare accurate mapping of the city. This would allow us to accurately match up our different maps and to produce accurate topographical information for such things as drainage studies. The Committee recommends: 1. That Council authorize the Engineer to obtain a ground control survey and aerial photography this year at a cost of approximately $8,000.00 from the $20,000.00 that remains in the budget for metric conversion. The preparation of new mapping from this information would have to be done next year at a cost of approximately $30,000.00 which would be included in the provisional budget for 1979, 2. That $7,000.00 of the remaining funds in the metric conversion account be allocated towards the purchase of a microfilm reader - printer which would allow hard paper copies to be made of microfiche records whenever such copies are necessary. Ali Land Registry Plans and all Hydro records are now available on microfiche and it is. envisioned all as- built drawings from new land development projects would also be recorded on microfiche and a machine to allow us to print these records whenever necessary would eliminate the need to transfer all of these records onto our utility drawings. This is an important step in the rationalization of our record system.
