CORPORATION OF THE CITY OF PORT COQVITLAH PARKS A RECREATION COMMITTEE A meeting of the Parks A Recreation Committee was held in the Parks A Recreation Director's office on Tuesday, September 22nd, 1987, at 2LRO p.m. In attendance were Alderman George Lakiog and Alderman Hike Gates. Also in attendance was K. Janna Taylor, Parks A Reoreation Dir ector. CONFIRMATION OF MINVTES That the minutes of the meeting of the Parks A Recreation Committee held on Tuesday& August 25th, 1987, be taken as and adopted. Item No,l read Civic Recoanition The attached letter f'rom P.C.A.A.A. was reviewed by the Committee. The teams meet the requirements for oivic recognition. Recommendation: That members of'he PoCo Marlins Swim Team who placed in the provincial swim meet and members of the Bantam Boys Softball Team receive civic reoognition awards. CARRIED Item No. 2 Cedar Drive Park The attached letter was reviewed by the Committee. Committee members did not agree with participating in any cost sharing of a chain link fence. Recommendation: That the City would not participate in a oost sharing of the chain link fence. CARRIED /2. SEP Z2 1987 Item N~o. Kinsmen Auction The Committee reviewed report from the Recreation Manager. ThetheCommittee did not support the recommendations and indicated that regular rental rates should be charged . Recommendation: That we not waive rental char ges for the Auction. Item No. 4 Kinsmen Wilson Centre~Ex ansion A Arena Chiller Parks Recreation indicated that the ice in arena No. 2 wouldDirector ready on October 2nd and that the Wilson Centrebe expansion would be ready for the oi'ficial opening on October 4th. Wheeler, Recreation Manager Kinsmen Auction Request to Waive Hyde Creek Rental Fee Purpose/Problem: To review the Kinsmen's request for free use of Hyde Creek on November 27th, 19 87 for their fund raising auction and prepare a recommendaticn for the consider ation of the Parks Recreation Committee. Historv/Backaround. On November 27th, 1987 the Kinsmen are planning to hold an auction at Hyde Creek. They ate also interested in selling food, wine and beer in the lounge area. All proceeds from this event will be contributed towards the Kinsmen's Water Park project at Sun Valley Park. Alternati.ves: There are three basic alternatives can approve the Kinsmen's request for free use of the Hyde Creek Recrest,ion Center facilities. We can refuse the Kinsmen's request for f'ree use of We 2. Ij . 3. iI%1'I, rental fee. Financial Imolications: Waiving of the rental fess for this event, results in a possible loss of revenues in the neighborhood of 41,000.00. Zn addition we would have to absorb all costs related to operating and cleaning up the facility, including staff f )I@I II Center i'acilities. We can suggest some alternative, such as a reduced Hyde Creek Recreation most of a day. Proceeds from this event will be used for a project that will positively impact the quality of life in this community. Other: The Kinsmen would also like to use the upstairs lounge area and the outside patio for the sale of food and beverage. Zn addition, the Kinsmen will need to utilize various pieces of equipment, (i.e. tables, chairs, stage, etc.). I believe the Kinsmen would be willing to assist with elean-up, (i.e. washing table tops, picking up major garbage, etc. ) which would help reduce the impact of not charging a rental fee for this event.
