Re: Acceptance of appointment as Architectural Consultant for the proposed
new City Library for Port Coquitlam

Dear Mr. Pollock!

I wish to thank the Library Conmittee for their selection of my firm as architects
for the new City Library.

I accepted the appointment with great enthusiasm and look forward to the opportunity
of working with the Library Committee on this project.

It is my understanding that the city wishes my firm to prepare a preliminary
architectural sketch design for the proposed new City Library in. co-operation with
the Library Conmittee and that such a design should form the basis for preparation
of possible later working drawings and specifications. .

It is also our understanding that the city wishes to’ prepare the sketch design for
the purpose of going to a public referendum for approval of construction funds in
the early Spring of 1981,

As promised in our meeting of December 1, 1980 I have looked at the architectural

fee for the preparation of sketch design presentation drawings for the proposed
referendum. With reference to the A.I.B.C. scale of fees for architectural work, the
preparation of such preliminary sketches for the purpose of public display and pres-
entation would be 10% of the tatal architectural fee. Relating this percentage to the
standard A.1.B.C; fee guidelines based on construction cost, the fee for this portion
of the architectural work would be in the order of $10,000.00. .

With reference to your request concerning some commitment to maximum architectural]
fee for this first phase of the architectural work, I wish to confirm that my office
will provide the architectural sketch design services for the proposed 15,000 square
foot library for an early Spring referendum for the maximum sum of $10,000.00

Details of billing and payment to be determined in client-architect agreement pre-
pared prior to start of design.

Our services will include work with the Library Committee to obtain from them the

pertinent design information. Preparation of sketch plans for approval, and pro-
duction of design presentation drawings for public viewing and public hearings.
