Freeman City Clerk RE: Council Agenda - Order of Business Mayor Campbell and I recently discussed the order of business provided for the Agenda at Council meetings and we agreed that the following changed listing would be submitted to the Council for approval: Special Presentations Zoning Public Hearing Confirmation of Minutes Delegations Unfinished Business By-laws Resolutions Correspondence & Petitions Reports New Business li. Monthly Reports - Information Only 12. Adjournment 13. Open Question Period The first four items are probably self-explanatory and need ne explanation. Item 5, Unfinished Business, is rarely used and only appears on the Agenda when an item has simply been deferred from one week to the next without further information being received. If a new report on a particular subject is received the item appears under item 9 "Reports". Items 6 and 7, By-laws,and, Resolutions, have been moved forward on the Agenda since these items are usually the formal result of actions earlier authorized by the Council and are usually dealt with ° expeditiously. Particularly with By-laws, however, the public is frequently interested in their disposition and this is particularly true of Zoning By-laws considered one week after the holding of a Zoning Public Hearing. Item 11, Monthly Reports - Information Only would include the regular S.P.C.A., R.C.M.P., Building Inspector and By-law Enforcement Officer Reports and although they would be included in the Agenda Booklet and thus made available to Council members and the Press and public, they would not necessarily be mentioned at the meeting unless an individual Council member saw fit to do so under Jtem 10, New Business. Aside from the change in the order of listing this is the only marked departure from present practice and should help to expedite business. at the meeting as those items that need not be mentioned, will not be, but each Council member will have the particular report right in front of him should he wish to mention it under New Business.
