Acting City Engineer MEMO FROM: Gordon Voncina Operations Manager Equipment Replacement Purchases - Step Van The City has received tenders for the replacement of two step vaas for the Water Department and the Sewer Department; as presented to City Council in the capital budget earlier this year. Four equipment suppliers submitted prices of which Co-Van International Truck and Commercial Body Builders Ltd provided similar low bids meeting the preferred specifications at $16,0450.44. The bid prices from the two suppliers are identical, as a result of a mutual agreement to construct the utility vans by each of the companies in the area of their expertise. Co-Van would be responsible for the chassis and associated works, while Commercial Body Builders would supply the van body, related hardware to installing the unit on the chassis. Since both quotes are identical, it would be recommended to award the tender to Co-Van, a local supplier. Co-Van is geographically closer, minimizing any travel time to and from the supplier should any warranty work be required. The funding for the equipment replacement of the two utility vans has been budgeted from the Equipment Replacement Fund, set at $530,300 for 1993. Our original estimated expenditure of $480,000 in 1993 falls short of actual expenditures due to the increased costs for these two utility vans. The estimated value of the two utility vans was $150,000. The actual costs are set at $160,450.44, increasing the overall Equipment Replacement Schedule Budget estimate of $480.000 by $10,450.44 to an estimated total of $490,450.44. Would you kindly review this request with the Public Works Committee and forward their recommendations, if favorable, to Council inorder to receive authorization to purchase the utility vans.
